Privacy policy

This page explains what information we receive when you use our website, send a request or book a student truck – and what we use it for. Last updated on 17 October 2026. This translation is for guidance; the Danish version applies.

Personal data

How we handle your information

Data controller

EventTrucks ApS, CVR 41097175, Robdrup Byvej 14, 8960 Randers SØ, Denmark, is the data controller for the information we process about you. If you have questions, write to kundeservice@eventtrucks.dk or call +45 60 65 81 19.

When you send a request

The forms on the contact page and by the price calculator send us:

  • Name, email and phone number
  • School, class and number of students
  • The dates you would like, and what the price calculator worked out
  • How you found us, and your message if you write one

When you send a request – what we use it for

We use the information to answer your request and send an offer or an order confirmation. The request is sent to us as an email, and you receive a receipt by email yourself. The website does not save the request. The legal basis is that you have asked for an offer (Article 6(1)(b) of the General Data Protection Regulation).

When you book a student truck

When you book, we use the contact person’s details for the contract, invoices and payment, and we receive the route plan with the names of the students who are coming and the addresses of your stops. We need this to carry out the drive you have ordered (Article 6(1)(b) and (f)). We must keep invoices and other accounting records under the Danish Bookkeeping Act (Article 6(1)(c)).

Who we share the information with

We never sell your information. It is only seen by the staff who need it – for example the driver who drives your route. Our website and email are hosted by one.com, and we use an accounting system for invoices. They only process the information on our behalf and on our instructions. If you have accepted statistics, Google processes information about your visit (see Cookies and statistics).

How long we keep it

  • Requests that do not lead to a booking: until there is no longer any dialogue about a booking, and at most 2 years after our last contact
  • Route plans: until the drive is over and settled, and at most 6 months after the drive
  • Contracts, invoices and payments: for 5 years after the end of the financial year, as the Danish Bookkeeping Act requires

Security

The website always uses an encrypted connection (https). To stop spam, our server keeps track for about 15 minutes of how many requests have been sent from the same connection. We do not store your IP address, but a code worked out from it that cannot be turned back into the address (Article 6(1)(f)).

Cookies

Cookies and statistics

A cookie is a small file that a website stores in your browser. Our website works fully without cookies. We only set statistics cookies if you say yes in the banner at the bottom of the page.

What we store in your browser

  • cookie-consent (local storage): remembers whether you accepted or declined statistics, so we don’t ask on every page. Kept for 12 months, after which we ask again. Necessary.
  • theme-mode (local storage): remembers whether you chose light or dark mode. Only stored if you switch mode. Necessary for the feature you chose.
  • _ga and _ga_… (Google Analytics cookies): tell visitors apart and keep track of your visit, so we can count visits and see which pages are read. Kept for 2 years. Only if you accept statistics.

Google Analytics

If you accept statistics, we use Google Analytics from Google Ireland Limited to see how many people visit the site, which pages they read and what type of device they use. We only use it for statistics, not for advertising. Google Analytics does not store your IP address, and we have set it to delete the information after 14 months. The information may be transferred to Google in the USA, which is certified under the EU-U.S. Data Privacy Framework. The legal basis is your consent (Article 6(1)(a) and the Danish cookie order). Read more in Google’s privacy policy.

How to change your choice

You can withdraw or give your consent at any time under Cookie settings, which is also at the bottom of every page. If you withdraw it, we delete the Google Analytics cookies from your browser. You can also delete cookies and local storage in your browser’s settings.

Links to other sites

Our website links to Facebook, Instagram, TikTok, YouTube, Trustpilot and Google Maps, among others. We do not embed content from them, so they learn nothing about your visit until you click a link. Once you are on their sites, their own rules for cookies and personal data apply.

Your rights

What you can ask us to do

Under the General Data Protection Regulation, you have the right to:

  • Find out what information we hold about you, and get a copy of it
  • Have incorrect information corrected
  • Have your information deleted when we no longer need it or are no longer required to keep it
  • Have our use of it restricted
  • Object to our use of it
  • Receive the information you have given us yourself in a common file format
  • Withdraw a consent – this does not affect what we did before you withdrew it

Contact and complaints

Write to kundeservice@eventtrucks.dk if you want to use your rights. We reply within one month. If you are unhappy with how we handle your information, you can complain to the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, datatilsynet.dk.

Changes

If we change how we handle information, we update this page and the date at the top. If we start using cookies for something new, we will ask you again.
